Privacy Policy

This Privacy Policy explains how theKaila.app (“Kaila”, “we”, “us”) collects, uses, shares, and protects information across three surfaces: the Kaila web platform, the Kaila mobile app (for households and SMEs posting jobs), and the Kaila Worker mobile app (for workers dispatched by staffing agencies). If you use any of these, this policy applies to you. See also our Terms of Use.

1. Who we are

Kaila is operated by theKaila.app, a reverse-auction booking platform connecting clients with staffing agencies in Davao City, Philippines. For any question about this policy or your data, contact us at privacy@thekaila.app.

2. Data we collect

What we collect depends on which app you use and how.

All users (web and mobile)

  • Account details you provide to sign in — name, email address, phone number, and password, handled via our authentication provider, Clerk.
  • Job, bid, and rating records tied to your account (job requests, agency bids, reviews).

Kaila customer app

  • Your device’s location, only while the app is open, to help you find services near you and to set the job address you post. We never collect location in the background.
  • Photos you choose to attach to a job request.
  • A push-notification token, so we can alert you about bids and job updates.

Kaila worker app

  • Your device’s GPS location at the moment you check in or out of an assignment, only while the app is open, used to confirm you are on-site (within 500 meters of the job address). We never collect location in the background.
  • Verification documents you upload for your staffing agency (for example, identification or background-check documents required to join a roster).
  • A push-notification token, so we can alert you about assignments.

What we don’t collect

Kaila has no customer-facing payment processing. We never collect card numbers, bank credentials, or other payment details from clients or workers. Agencies settle their monthly platform fees with us directly by bank transfer, outside the app.

3. How we use your data

  • To operate the core service: matching job requests with agency bids, dispatching workers, and confirming attendance via GPS check-in.
  • To send you notifications about jobs, bids, and assignments in real time.
  • To verify worker identity and eligibility on behalf of staffing agencies.
  • To calculate agency settlement invoices (₱150 per completed job).
  • To maintain platform trust and safety — for example, reviewing disputed jobs or anomalous check-in activity.

4. Who we share it with

We share data with the following categories of recipients, and no others:

  • Staffing agencies — an agency only sees the exact job address once it has won the bid and is actively assigned; before that, its address is masked and its coordinates approximated. A worker’s verification documents are visible only to their own agency.
  • Clerk — authentication and account management.
  • Cloudinary — storage for job photos and worker verification documents.
  • Ably — real-time delivery of notifications and job/assignment updates.
  • Google Maps Platform — maps, address search, and geocoding.
  • Semaphore — SMS delivery for account verification.
  • Resend — delivery of monthly settlement invoice emails to agencies (not used for client or worker communication).

We do not sell your data, and we do not share it with advertisers.

5. Data retention

We keep your account and job data for as long as your account is active. Records tied to completed jobs and agency settlements are retained after account closure where needed for accounting and dispute-resolution purposes. You may request deletion at any time — see below.

6. Your rights

You can ask us to access, correct, or delete your personal data at any time by emailing privacy@thekaila.app. We don’t yet offer in-app self-service deletion — every request is handled by email and we’ll confirm once it’s complete.

7. Children’s privacy

Kaila is not directed at children, and accounts are intended for users 18 years and older. We do not knowingly collect data from anyone under 18.

8. Security

Data in transit is encrypted. Authentication tokens on mobile are stored in your device’s secure hardware-backed storage, not in plain text. GPS check-in distance is verified server-side, not by the app itself, so it cannot be spoofed by modifying the app.

9. International data transfers

Some of our service providers (Clerk, Cloudinary, Ably, Google) operate infrastructure outside the Philippines. Where data is transferred internationally, we rely on those providers’ own security and compliance safeguards.

10. Philippine Data Privacy Act

We handle personal data in a manner consistent with the Data Privacy Act of 2012 (RA 10173). If you believe your rights under the Act have been violated after contacting us directly, you may also raise a concern with the National Privacy Commission.

11. Changes to this policy

If we make material changes to this policy, we’ll update the “Last updated” date above and, where appropriate, notify you in-app.
